Collaborative Writing Activity

Collaborate with your team to plan a meeting agenda for the monthly staff meeting of one team member’s organization. The agenda should include routine agenda items and should also include a workplace issue that will be addressed at the staff meeting.

I have monthly team meetings and professional development trainings (these are required for my team have to keep up on professional growth hours to maintain their site supervisor permits.

  • What typical agenda items do you cover in your current and/or past staff meetings?

I address items that have come up either throughout the year or the previous month. They could include:

Parent concerns

Behavior management concerns

Billing issues

Site inspection issues

Any issues within my team/program that have required attention over the past month.

I attend and conduct regular staff meetings with my team. Twice per month.

  • If you have not attended a staff meeting before, what do you think should be covered in a regular staff meeting?

I cover items that have been suggested by my team; issues that they are facing in their programs or with their teams. I also cover items that relate to policy and procedure or issues concerning compliance and following protocol.

  • Explain what agenda items you would like to cover in your current and/or past staff meetings and why?

Examples: my last meeting focused on fostering positive relationships with their ream members. Appropriate conversations for work

Sometimes we give our team members “homework assignments:”

  • What are some action items that may arise from a typical staff meeting? Are you assigned or have you been assigned action items after attending staff meetings?

Ex: After our last meeting, I asked my team members to each email me their employees’ hours at each of their sites. I gave them a deadline and held them accountable.

Below is a Meeting Agenda I created, used with my team:

    • They are also required to turn in monthly lesson plan and snack menus for me to review. If I have questions or require corrections, I email them individually and expect them to get back to me by a certain time (usually detailed in my communication with them.)
  • What role do you play in your staff meetings? Do you assist in the planning process? Do you take minutes?
    • I mostly plan my staff meetings. My boss and I rotate each month, or if we both have topics that we need to address, we will both speak. For instance, this Friday we have a team meeting from 9:45-11:45am. I will get one hour to speak and she will get one hour to speak. I am always in charge of doing an icebreaker at each meeting, just because I have a lot of experience with this. I will show them how to implement these techniques with their teams so they can do team building activities at their team meeting at their sites.
