Impact of Organizational Structure and Communication

Introduction

Organizational structure can be defined as how organizations’ functions and components are organized and how this functions and components are inter-related to allow the organization achieve its missions and goals. Organizational structure is important and has an impact on the following; the flow of resources and information, coordination and communication among employees and managers, decision making processes, efficiency and effectiveness of the organization as well as the organizational behavior within the organization.

Impacts on Organizational Behavior

Employees are the key driving force in an organization and it is important to note that employees behave differently from each other at place of work. There are different factors that can either positively or negatively affect the organizational behavior, and one key factor is organizational structure. Organizational structure can inspire and motivate employees to be productive or it can demotivate and make them to disengage and become less productive. Organizational structure has effects on behavior of employees on the following levels; individual behavior and characteristics, and group structure and characteristics. If the organizational structure is not well structured it will not inspire employees and lead to absenteeism, turnover and poor job satisfaction, therefore Productivity will be negatively impacted as well as creativity. Management action can also directly and indirectly have effects on personal decision making, learning and motivation. On group level it has effects on inter and intra group communications and interactions/relations.

The organizational structure should put in place structures that motivates and lead to job satisfaction(Husain, 2013), in this way employees will be motivated and feel valued. Employees will be productive and rates of absenteeism and turnover will reduce.

Use of Organizational Communications in Supporting Organizational Behavior

Effective communication is important for any organization. If communication in the organization is effective, the company will be effective and productive. Organizational communication can positively impact on organizational behavior if it is well structured and transparent. Good communication improves understanding among teams and groups as well as the whole organization, and will prevent effort duplication. Effective communication motivates and inspire employees and therefore desired behavior can be achieved. Communication creates conducive environment for solving conflicts effectively and fosters cooperation and team work among the employees and improves on the organizational behavior(Bucic & Gudergan, 2004).

Communication in organization can be effective and ineffective depending on the structure of the organization. Effective communication makes organizations activities proceed as planned and that all the participants are fully informed on the respective activity whereas ineffective communication will lead failure or poorly done projects due to miscommunication or lack of information on all the participants. Effective communication methods are simple, clear and informative. Communication methods such as written and oral should be tailored, timely and the information passed effectively by taking into consideration that body language and tone of the voice, voice modulation, volume and clarity of speech matters. Ineffective communication methods involve untimely communication, and use of demeaning language while passing the information. It involves use of angry tones, sarcasm and bad body language and, is not fully informative and transparent.

My personal experience illustrates an effective communication, in that I once noticed displeasure in one of our clients and I communicated this to my superiors and intern they promptly contacted the client and ironed out the issues.
