An employee assigned to a specific area knows his or her inventory better than a manager who needs to take care of all areas, so he or she should always involve employees in the process as they can contribute a lot to their knowledge.

3. How can you ensure that the resource expenditure is realistic and uses the

budget efficiently? (2 marks)

The budget that has been in place needs

to be carefully considered and followed. To ensure it, we can use a budget plan, this plan is used as a control mechanism to plan your spending in order

to reach the desired financial goal. A budget plan looks at the monthly income

and expenditure of an organisation in order to demonstrate where money has

gone. They should be visited regularly in order to keep the organisation on track.

4. Referring to Question 1, It is your job to present the recommendations

on resource requirements to your supervisor. What business equipment

and technology will you need to use to ensure the information is sent and

received? (2 marks)

The process of acquiring resources needs to be completed within the available timelines.

A timeline is something used

by an organisation to plan the future tasks that need to be completed in order

to meet the demands and requirements of the organisation.

for checking the quality and quantity of resources against the service

Elements of a resource plan include a variety of relevant factors of operation

and production, as well as things like future capacity planning.

12. What records need maintaining for the resources within your organisation?

Record how many pieces have been sewn per day, record use of fabric, record how many pieces each employee is making per day, record approved technical sheets, production time of each piece, record sewing machine maintenance.

13. Choose one of resource within your organisation and explain what details are

recorded in the maintenance record. (1 marks)

Part B – Presentation

Scenario: You are taking an annual holiday from your job as a purchasing assistant.

To ensure that you can enjoy a proper holiday (especially when you return to the

office), your manager has approved for a casual staff member to be hired to cover

your job whilst you are away. Before you leave, you need to ‘hand over’ to the casual

staff member and your manager would like you give one hour’s training to the casual

staff member. Using your planning, organising and communication skills, create a

a presentation explaining what you would like the Casual to know about purchasing

goods and services for an organisation, including of:

1. Organisation policy and procedures

2. Purchasing and procurement principles of the organisation.

This presentation does not have to be delivered in class – just added to the end

of the assessment. (10 marks)

When, to make any purchase decision, always pay attention to the concepts explained below:

Supplier optimization – valuing relationships with suppliers and the best

service. Relationships will be developed over a period of time, and

will be based on trial and error when ordering preferred goods / services and services

working methods.

Total quality management – where error-free quality of service leads

Part C – Scenario

You will also need to create an office procedure which will be used by the person

who will be doing your job. This is all the only instruction they will have apart

from a brief hand over from you and no one else will have time to help the casual

assistant while you are away.

The procedure is for purchasing goods and services relevant to the organisation

and industry context (select a suitable industry). You can draw on your own

workplace examples where possible and will include evidence of the following

skills:

1. Obtaining quotes from prospective suppliers (search the internet, call

suppliers)

2. Selecting appropriate purchasing methods (Read the organisation’s policy)

3. Receiving, checking and documenting purchases

Before making any purchase, you must have the budget of three different suppliers and the justification of the choice attached to the order that is approved.

All invoices are invoiced for payment after 30 days.

Principles of purchase and acquisition of the organization:

Stocks must always be at least 20 days of production.

Track the delivery of all new orders weekly.

Always choose suppliers with social and environmental responsibility.
